Office Administrator
Introduction
The Office Administrator ensures the smooth day-to-day running of the London office, maintaining a safe, well-equipped, and welcoming environment for employees and visitors. This role will report to Chief People Officer and combines administrative support with facilities management responsibilities and acts as a key point of contact for clients and external partners, ensuring a professional and positive experience.

Saltus is a privately owned financial planning and discretionary investment management house. We are dedicated to providing a high-quality service for private clients, trusts, and smaller institutions.
Saltus Partners was founded in 2004 and has grown organically and through a small number of carefully integrated acquisitions. Originally the business started out as an investment manager and has now developed the financial planning side of the offering, putting this at the forefront of the client relationship.

Role and responsibilities:
The role responsibilities include the following:
Office Management
- Assist with the day-to-day smooth running of the office.
- Order and maintain office supplies, including snacks, coffee pods, and stationery.
- Liaise with cleaners, window cleaners, and plant maintenance companies.
- Decorate the office for special occasions and events.
- Allow access for external company visits.
- Greet and assist visitors, ensuring a professional and welcoming environment.
- Manage meeting room bookings and ensure rooms are prepared for client meetings.
- Coordinate catering for meetings and events as required.
Health & Safety Compliance
- Carry out checks on fire extinguishers and fire equipment.
- Carry out checks on emergency lighting and log on BrightSafe.
- Run showers and hand basins for legionella checks and log on BrightSafe.
- Book and oversee PAT testing, fire equipment maintenance, and emergency lighting testing as required.
- Facilities coordination
- Liaise with the Facilities team to ensure Health & Safety records are up to date.
- Support office relocations, openings, and closures in coordination with Facilities.
- Monitor and maintain office equipment and furniture, arranging repairs or replacements as needed.
- Oversee waste management and recycling processes.
Client-Facing Responsibilities
- Act as the first point of contact for client queries when visiting the office.
- Ensure reception and communal areas are always presentable.
- Provide support for client events or meetings held on-site.
Additional Responsibilities
- Maintain a tidy and professional office environment.
- Support internal events and employee engagement activities.
- Assist with ad hoc administrative tasks as required.
As an Office Administrator you will:
- Demonstrate strong organisational and time management skills to manage multiple priorities effectively.
- Maintain excellent attention to detail and ensure compliance with all processes and standards.
- Communicate clearly and confidently, building positive relationships with clients, advisers, and colleagues.
- Exhibit a proactive, reliable, and positive “can-do” attitude in all tasks.
- Provide efficient support to advisers and clients, handling queries promptly and professionally.
- Manage adviser and client expectations effectively to deliver a smooth and positive experience.
- Collaborate with and support the London team to ensure seamless client service and operational efficiency.
Where will I be working?
This is a full-time, on-site role based in our London office, working Monday to Friday (37.5 hours per week). We’re incredibly flexible about when and how you work: we don’t want anyone to be prevented from coming to work for Saltus as a result of the working pattern that they’re looking for. What benefits do I get when working for Saltus?
The salary is £27,000 – £30,000 depending on experience, alongside 25 days’ holiday (plus bank holidays), life assurance, income protection and a pension, alongside access to our flexible benefits platform. The role is 37.5 hours per week between the hours of 8.30am – 5.30pm.
